What is the Opportunity?

Ovivo USA is seeking a Project Coordinator who is smart, curious, and loves the challenge of solving technically difficult and impactful problems. As a Project Coordinator, you will support the team comprising of product managers, project managers and engineers by ensuring projects stay on track, facilitating communication between team members and stakeholders, and managing administrative tasks. You will complete tasks like track individual project schedules and its progress. The ideal candidate is organized, detail-oriented, and possesses excellent communication skills.

What is the role?

The Project Coordinator will play a crucial role in supporting the project team to ensure projects are completed successfully. This involves facilitating communication between team members and stakeholders, managing administrative tasks, and ensuring projects stay on track.

Responsibilities

  • Create project plans: Establish timelines and track progress towards key milestones.
  • Assist Project Managers: Handle administrative tasks such as scheduling meetings and managing submitting documentation requirements for specific projects and tracking its status throughout the submittal process with the customer.
  • Communication: Function as a point of contact for team members, stakeholders, and clients, ensuring clear communication and updates on project status.
  • Resource Management: Manage resources, including personnel and budget, to ensure projects stay on track and within scope.
  • Problem Solving: Identify potential issues or roadblocks and assist in finding solutions.
  • Reporting: Prepare reports, track project data, and ensure project documentation is current.
  • Coordination: Work within a cross-functional team environment with Project Management, Engineering, and Marketing to coordinate assigned projects.
  • Scheduling: Monitor project schedules and communicate them with customers and various internal departments.
  • Accounting: Prepare accounting documents on progress and final invoicing.
  • Other Duties: Perform other duties as assigned.

Qualifications

  • Education and Experience: Associates or Bachelor's degree in a related field or a minimum of 3 years of directly applicable experience.
  • Technical Skills: Proficient in the use of MS Office products.
  • Customer Service: Proven history of excellent customer service.
  • CRM Management: CRM management experience is a plus.
  • Independence: Ability to work independently and reliably.
  • Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and track project progress.
  • Communication Skills: Effectively communicate with team members, stakeholders, and clients.
  • Prioritization: Prioritize tasks, manage deadlines, and ensure projects stay on schedule.
  • Project Management Tools: Experience using project management and scheduling tools is a plus.
  • Project Management Principles: Familiarity with project management principles and best practices is a plus.
  • Language Skills: Ability to understand and read, write, and converse in English at an advanced level.
